6-Step Framework: Identifying and Automating Tasks

Use this framework to systematically identify which tasks in your business should be automated with AI.

1

List Your Daily Tasks

Write down everything you and your team do in a typical week. Be specific. Include tasks that feel repetitive, tedious, or time-consuming.

2

Categorize by Business Area

Group each task into one of the 12 business areas above. This helps you see where AI opportunities are concentrated.

3

Evaluate with the Scoring Tool

Rate each task on frequency, time spent, repetition, error rate, business value, and risk. The scoring tool calculates a priority score.

4

Pick Your Top 3

Start with the highest-scoring tasks. Focus on tasks that are frequent, time-consuming, and low-risk to automate first.

5

Write a Prompt for Each

Use the ROCOV framework from the Prompting Guide to create a prompt for each task. Start simple and iterate.

6

Review and Refine

After using AI for a week, review the results. What worked? What needs improvement? Refine your prompts and add new tasks to automate.

Detailed Business Examples

Example A: Drafting Customer Email Responses

Original Task: You spend 1-2 hours per day replying to customer emails about orders, returns, and general questions.

How AI Helps: AI can draft responses based on your company's policies and your past responses. You review and send.

Sample Prompt: "You are a customer service representative for an online clothing store. Draft a professional response to a customer whose order is 3 days late. Our policy is to offer a 10% discount on their next purchase. Keep the tone empathetic and solution-focused. Under 150 words."

Human Review Needed: Always review AI drafts for accuracy, tone, and any special circumstances the AI may have missed.

Risks: AI may not understand complex customer situations. Never use AI to handle legal complaints or threats of litigation without human review.

Example B: Creating Weekly Sales Reports

Original Task: Every Monday, you compile last week's sales data from your POS system into a formatted report.

How AI Helps: AI can summarize the data, identify trends, and draft the report text. You add context and send it.

Sample Prompt: "You are a sales analyst. Here is last week's sales data: [paste data]. Summarize the key findings, identify the top 3 selling products, note any significant changes from the previous week, and format the output as a clear business report with sections for total revenue, top products, and recommendations."

Human Review Needed: Verify all numbers against the source data. Add any context the AI cannot know (e.g., a competitor's promotion).

Risks: AI may misinterpret data formats. Always double-check calculations and percentages.

Example C: Writing Product Descriptions

Original Task: You need to write unique product descriptions for 20 new items on your e-commerce site.

How AI Helps: AI can generate compelling descriptions based on product specifications. You edit for brand voice.

Sample Prompt: "You are a product copywriter for an artisanal food brand. Write a 100-word product description for our new organic dark chocolate bar (70% cacao, sourced from Ecuador, packaged in recyclable materials). The tone should be warm and sophisticated. Highlight the ethical sourcing and flavor profile."

Human Review Needed: Check for accuracy of product details. Adjust tone to match your brand voice. Ensure all claims are verifiable.

Risks: AI may invent product features or make unverifiable quality claims. Always verify facts.

Example D: Planning Social Media Content

Original Task: You need to create content for your business social media accounts for the entire month.

How AI Helps: AI can generate a content calendar with post ideas, captions, and hashtag suggestions.

Sample Prompt: "You are a social media manager for a local restaurant. Create a 4-week content calendar for Instagram and Facebook. Include a mix of promotional posts, behind-the-scenes content, customer spotlights, and seasonal themes. For each post, suggest a caption and 5 relevant hashtags. The restaurant specializes in Thai cuisine."

Human Review Needed: Ensure posts align with actual events and promotions. Add your own photos and local touches.

Risks: AI may suggest dates or events that have passed. Always cross-reference with your actual calendar.

Example E: Creating Employee Training Materials

Original Task: You need to create training materials for new employees joining your team.

How AI Helps: AI can draft onboarding guides, create quiz questions, and generate process documentation.

Sample Prompt: "You are an HR training specialist. Create a new employee onboarding checklist for a small accounting firm with 15 employees. Include Day 1 through Week 1 activities, covering IT setup, policy review, team introductions, and first assignments. Format as a clear checklist with time estimates."

Human Review Needed: Verify all policies and procedures against your actual company handbook. Add company-specific details.

Risks: AI may not know your specific policies. Always verify against official documentation.

Example F: Conducting Market Research

Original Task: You want to understand the competitive landscape before launching a new service.

How AI Helps: AI can summarize competitor information, identify market trends, and suggest positioning strategies.

Sample Prompt: "You are a market research analyst. I am planning to launch a mobile pet grooming service in a mid-sized city. Summarize the key factors I should consider: target market size, competitor analysis, pricing benchmarks, and potential challenges. Focus on practical, actionable insights."

Human Review Needed: AI's market data may be outdated. Verify local market conditions through direct research and surveys.

Risks: AI may use outdated statistics. Always supplement with current local data.

Example G: Automating Invoice Processing

Original Task: You receive invoices via email and manually enter them into your accounting software.

How AI Helps: AI can extract data from invoices, categorize expenses, and draft entries for your accounting system.

Sample Prompt: "You are an accounts payable assistant. Extract the following information from this invoice: vendor name, invoice date, invoice number, line items with amounts, tax, and total. Format the output as a CSV row ready for import into accounting software."

Human Review Needed: Verify all extracted data. Check for duplicate invoices and correct categorization.

Risks: AI may misread numbers or dates. Always verify financial data before entering it into your system.

Example H: Generating Meeting Summaries

Original Task: After every team meeting, you spend time writing up notes and action items.

How AI Helps: Paste your meeting notes or transcript and AI can summarize key decisions and action items.

Sample Prompt: "You are a meeting coordinator. Here are my rough notes from today's team meeting: [paste notes]. Create a clear meeting summary with sections for decisions made, action items (with assigned owners and deadlines), and topics for the next meeting. Keep it concise and professional."

Human Review Needed: Verify that all action items are correctly attributed and that no decisions were missed.

Risks: AI may miss subtle decisions or misattribute action items. Cross-check with meeting participants.

Example I: Writing Job Descriptions

Original Task: You need to write clear, attractive job descriptions for open positions.

How AI Helps: AI can draft job descriptions based on your requirements, including responsibilities, qualifications, and company culture.

Sample Prompt: "You are an HR specialist. Write a job description for a social media manager at a small nonprofit focused on environmental conservation. Include responsibilities, required qualifications, preferred qualifications, and a section about our mission and culture. Keep the tone inspiring but professional. Target length: 300-400 words."

Human Review Needed: Ensure the description matches your actual needs and budget. Adjust requirements to be realistic.

Risks: AI may include requirements that are too senior or expensive for your budget. Always tailor to your actual needs.

Example J: Creating FAQ Content

Original Task: You get the same customer questions repeatedly and want to create a comprehensive FAQ page.

How AI Helps: AI can organize your common questions into clear Q&A pairs and suggest additional questions your customers might ask.

Sample Prompt: "You are a customer experience specialist. Here are the top 15 questions our customers ask: [paste questions]. For each question, write a clear, helpful answer of 2-4 sentences. Group related questions under common headings. The tone should be friendly and helpful."

Human Review Needed: Verify all answers against your actual policies and procedures. Update with current information.

Risks: AI may provide outdated or incorrect policy information. Always verify against official sources.

Example K: Brainstorming Business Names

Original Task: You are starting a new business and need name ideas that are available and memorable.

How AI Helps: AI can generate name ideas based on your business description, industry, and desired brand personality.

Sample Prompt: "You are a branding consultant. I am starting a small business that provides AI consulting services to small businesses in rural Thailand. Generate 15 business name ideas that are: easy to pronounce in both English and Thai, memorable, professional but approachable, and under 3 syllables. For each name, provide a brief explanation of why it works."

Human Review Needed: Check domain availability, trademark conflicts, and cultural appropriateness for your target market.

Risks: AI cannot check domain or trademark availability. Always verify legal availability before committing to a name.

Example L: Creating a Business Plan Outline

Original Task: You need to create a business plan to present to potential investors or partners.

How AI Helps: AI can create a comprehensive outline with sections, prompts for each section, and tips for investor-focused content.

Sample Prompt: "You are a business plan consultant. Create a detailed outline for a business plan for a small coffee roastery in Chiang Rai, Thailand. Include all standard sections (executive summary, market analysis, operations, financial projections) plus Thailand-specific considerations. For each section, provide 3-5 guiding questions to help me write the content."

Human Review Needed: Fill in all financial projections with real data. Verify market analysis with local research.

Risks: AI-generated financial projections are estimates, not guarantees. Always use realistic, research-backed numbers.

What Should You Automate First?

Rate each factor for a task using the sliders below. The tool calculates an automation-priority score to help you decide which tasks to automate first.

1. Frequency: How often do you do this task? 5
2. Time: How many minutes per session? 5
3. Repetition: How repetitive is the task? 5
4. Error Rate: How often do mistakes happen? 5
5. Business Value: How important is this task? 5
6. Risk: How risky is an AI mistake? 5
Automation Priority Score: 31 / 60

How to Read Your Score

  • 45-60 (High Priority): Automate this task first. It is frequent, time-consuming, repetitive, and low-risk.
  • 30-44 (Medium Priority): Good candidate for automation. Consider starting after high-priority tasks.
  • 15-29 (Lower Priority): May not be worth automating yet. Focus on higher-scoring tasks first.
  • 6-14 (Low Priority): This task may be better left manual, especially if it requires high judgment or creativity.

Note: The risk factor is subtracted in the final calculation. Higher risk means lower automation priority. This ensures you do not automate high-risk tasks before low-risk ones.
